The group chat has twelve destination links, two different dates and no clear decision. Someone has already found a hotel while someone else is still asking whether the trip is happening.
Before adding another place, agree on the few things that will decide the plan.
Set the dates and departure point
Ask when each person can genuinely leave and when they need to be back. Work commitments, connections from another city and Sunday evening responsibilities can change what is realistic.
Choose a meeting point and a latest departure time. If people are joining separately, write down how they will reach the base. Do not leave that as an assumption for the day of travel.
Agree on what the budget includes
A per-person budget is not useful if one person means accommodation and another means the whole trip. List transport, stay, meals, activities and a little room for unplanned costs.
Ask everyone to confirm a comfortable range privately if that makes the conversation easier. Choose a plan the group can afford without relying on someone to quietly cover the difference.
Before paying for anything shared, agree on who pays, how others will settle their share and what happens if somebody cancels. Use the actual booking terms for that discussion.
Shortlist three places
For each option, share a short note: the journey, the stay, the main experience and the likely effort. Three comparable options are easier to choose between than a growing collection of unrelated photos.
Ask each person for one preference and one thing they would rather avoid. That often reveals more than a simple vote. A place with lots of support may still depend on a journey somebody cannot manage.
Let different interests fit into the same day
You do not have to do every activity together. A slower morning for some people and an optional outing for others can work if meeting times and transport are clear.
Keep the shared essentials together: the main booking, a few meals and the return plan. Discuss any split activities early so nobody feels abandoned or pressured at the last minute.
Give each task an owner
One person can compare transport, another can contact the stay, and someone else can check the main visits. Put confirmed information in one shared place, with dates and booking references.
You can save ideas on Routeyst and share a trip once you sign in. Whether you use that or a simple shared note, keep the final plan separate from the conversation that produced it.
